Position Description

This position reports to the Operations Supervisor, Training & Shared Services and is responsible for assisting with ongoing projects. Tasks involve monitoring project plans, organizing and participating in key stakeholder meetings, and ensuring that project deadlines are met in a timely manner.

This position interacts regularly with multi-level management across various teams. The Project Coordinator builds and maintains effective relationships with stakeholders to minimize process gaps. Must be a team-player committed to actively participating in continuous improvement of department and organization's policies and procedures.

Primary responsibilities:

Key responsibilities will include, but may not be limited to:
  • Provides support for projects and programs relating to business systems and initiatives that impact the sales force or related departments.
  • Researches and gathers data, as needed, to conduct preliminary analysis. Recommends content and format to display findings most effectively.
  • Creates and maintains a variety of policy and procedure documents, user guides, business correspondence, and confidential documents and/or forms, to improve department competencies; maintaining exceptional support that conveys information in easily understood terms.
  • Reviews and edits all major deliverables, including documents and presentations crafted by Business Operations Specialist, to ensure management expectations are fulfilled.
  • Provides administrative support by conducting research and handling information requests.
  • Serves as resource to others on KSEA policies and procedures or in the resolution of moderate problems.
  • Schedules stakeholder meetings, as required, and attends meetings to document important actions and decisions.
  • Prepares necessary presentation materials for meetings.
  • Maintains and monitors project plans and project schedules within shared calendar.
  • Ensures projects adhere to framework and all documentation is maintained appropriately for each project.
  • Applies comprehensive knowledge of project coordination.
  • Innovative and resourceful, taking initiative to identify and solve problems, and obtains answers through inter-departmental collaboration using conceptual thinking.
  • Maintains technical expertise for software systems that will be utilized for project support.
  • Establishes and maintains excellent relationships with team leaders and executive management
  • Travel: up to 10% travel during the year.


Qualifications:


  • Bachelor's degree preferred or 3+ years of experience in related field
  • Exceptional verbal, written and presentation skills
  • Proficiency in Microsoft Office Suite
  • Ability to work on multiple projects and priorities simultaneously
  • High level of interpersonal skills to handle sensitive and confidential information and documents
  • Aptitude to learn new applications for administrative purposes
  • A proven track-record of problem resolution and the ability to make sound decisions in a fast-paced environment
  • Knowledge of all KSEA business applications utilized by field sales and management, preferred
  • Excellent teamwork capabilities
